Embroidery bar pricing, stated plainly

You are budgeting a line item, so here are the anchors before anyone asks for your phone number: staffed local stations start around $5,000, crew time bills at $250 per hour including setup and teardown, and travel adds $900 outside the Orange County / Los Angeles / San Diego corridor.

What moves the number

Five inputs decide your quote

  1. Service window. Crew time is $250/hr and covers arrival through teardown, so a tight three-hour window prices better than an all-day trickle.
  2. Guest count vs. machine heads. Each head serves 8–12 guests hourly. We add heads or a patch press until the math covers your list — that hardware scales the price.
  3. Garment menu. A cap-and-tote menu costs less per piece than hoodies and robes. Blank costs pass through transparently on one invoice.
  4. Artwork prep. Monogram menus digitize quickly; a custom logo with fine detail takes longer to digitize and test. We confirm stitch files the week before, never at the venue.
  5. Geography. OC, LA and San Diego are local. Las Vegas and beyond add the flat $900 travel fee plus any venue-imposed costs.

Against the alternative

Pre-embroidered bulk merch runs less per unit — and a third of it ends up in a closet unclaimed because sizes and tastes were guessed months out. A bar flips the model: guests choose the garment, the thread and the name, so nearly every piece leaves on a person. Planners tell us the leftover-box line item disappearing is what sells the second booking.
